Remote Desktop (RDP)

Remote Desktop Protocol (RDP) allows you to connect to a specific York College computer from off-campus. Available to all employees and some students, RDP provides the same functionality as sitting at the physical machine, including access to your H: Drive, network shares, and specialized software.

Usage Notes:

  • VPN Requirement: Employees must first request VPN access to connect to their office computers remotely.
  • No Virtual Meetings: Do not use RDP connection for any virtual meetings. Sound and video will not carry across the connection. Use your local machine for any virtual meetings. 
  • Save your work: Files saved while using RDP will be saved to your H: Drive by default. They will not save on your remote machine. 
  • Daily Restarts: General-use campus computers automatically restart at 4:00 AM each day. If you are connected at this time, any unsaved work will be lost.
  • Lab Courtesy: If you are accessing a shared lab computer, use it during your normal class period or check the room's availability first. If someone else is already signed into a machine, do not sign them out; choose a different computer.
  • Proper Disconnection: Simply closing the RDP window merely disconnects your session; it does not sign you out. Be sure to properly sign out of the Windows session when you are finished.

Prepare Your YCP Account

  • Visit: https://mysignins.microsoft.com/security-info

  • Verify the Primary Authenticator is: Microsoft Authenticator - notification

    • Located next to the "Sign-in method when most advisable is unavailable:"

    • Click Change if any other option is displayed

Note: You must have the Microsoft Authenticator App as the primary option for RDSH to function.

Connection Instructions for Windows

Note: Some browsers may display this as an Audio file. Choose the download option to continue. 
  • Locate the Saved File (YCPLabs.rdp)

    • You may want to relocate it to your Desktop or other location that is easy to find in the future. 

    • You can also rename the file if desired.

  • Launch the file by double clicking it. 

  • Enter the Computer Name

    • This is the computer name you wish to remote into. 

      • Employees approved for RDP will enter the name of the computer in their office. 

      • Students can RDP into the machines listed in the section below. 

  • Click Connect

    • You will be prompted to "Do you trust the publisher of this remote connection"

  • Click Connect

  • Sign in:

    • Username: <YCP email address>

    • Password: <YCP Password>

    • Approve the Microsoft Authenticator Prompt on your phone.

  • RDP will load and appear just like a normal Windows PC Desktop

Connection Instructions for Apple iMac or MacBook:

  • From the App store application on your Mac, find and install Windows App.

Note: RemoteApp may not work on some older versions of macOS. 
  • Once installed on your computer you can place it in your Dock if desired.
Tip: If you've already downloaded it but having problems locating it, Search (command+spacebar) for Windows to find it. 
  • Open the Windows App

  • Navigate to the left and select Devices

  • Navigate to the upper right and click the "+"

  • Choose "Add PC"

  • Create a Connection

    • PC Name: <Name of computer>

    • Gateway: gateway.ycp.edu

    • Check: Bypass for Local Sessions

    • Click Add

  • Launch the new connection

    • Double Click the icon 

      • OR Click ... and then Connect

  • Sign in:

    • Username: <YCP email address>

    • Password: <YCP Password>

    • Approve the Microsoft Authenticator Prompt on your phone.

NOTE: If you're accessing a lab computer please be aware that others may be using the same machine. If someone is already signed into a computer, please choose another instead; do not sign them out.
  • RDP will load and appear just like a normal Windows PC Desktop

Access a YCP computer

If you're accessing a computer that multiple people use, please either use this during your normal class period or check the room's availability before remoting in. If someone is already signed into a computer, please choose another instead; do not sign them out.

To check a room availability:

  • Sign into myapps.microsoft.com with your YCP username and password.
  • Select the 25Live icon.

  • Select Sign In (in the upper right) then sign in with your network account.

    • Note: If you see your name in the upper right, then you're already signed in.

  • There is a Select Object with a box next to it. 

    • Click on the box and select Locations.

    • In search search box, search the room you would like to check the availability.

Note: When searching a room, use the building abbreviation and then room number. For example: KEC 123

By default, your work will save to your H: Drive (unless you choose another location) which can then be accessed through MyFiles. We recommend saving to your Google Drive instead.

Note: Multi-factor Authentication Required! For RDP, you must use the Microsoft Authenticator app.  Other MFA options are not supported for RDP and RDSH.

Locations & computers

Select your preferred location, then copy & paste the name of the computer that you want to access. Find which computers have a specific software.
