Office Move Request Overview

Office Move Requests are subject to approval by the President, Operations, and Library and Technology Services (LTS). Completion of this form will help to start the process to ensure that the Office Move is completed properly and all subsequent systems are updated with the new location. Coordination of approvals and time to the execution of the Office Move may vary depending on the request conditions.

 

Standard Moving and Office Preparation Guidelines (Once Approved)

Personal Item Moves
Individuals are responsible for packing and moving their personal belongings to their new office space or vehicle. Hand trucks and carts may be borrowed from Facility Services, if available, by requesting one in advance.

While this procedure is not new, it may seem unfamiliar to those who haven’t moved in recent years.

Packing Materials
Departments are responsible for providing their own boxes and packing supplies. Facility Services does not provide or loan out boxes. This change was implemented several years ago due to the high cost and low return rate of loaned boxes. To better manage resources and control rising costs, this responsibility now falls on individual divisions and schools.

Office Preparation
Once Facilities Services is notified that an office has been vacated, staff will assess the space to determine necessary custodial and maintenance services, including cleaning, painting, and floor care. While all offices will be cleaned, painting is not guaranteed and will depend on scheduling and other factors.

Hanging Items
Facilities Services receives a high volume of requests for assistance in hanging items in offices. These requests will be fulfilled as time permits. Please note that Facilities Services may limit the number and type of items to be hung.

Additionally, the relocation of corkboards and whiteboards within offices is being restricted. These changes typically require patching and painting. If requested, associated labor and material costs will be charged.

Furniture Relocation
Requests for furniture moves will be considered on a case-by-case basis. Facilities Services are unable to accommodate all requests due to limited resources and storage. College-owned furniture must remain in the assigned office, and they do not swap furniture between spaces.

New Furniture & Equipment (not commonly approved)
Facility Services does not stock additional furniture. Departments purchasing furniture must ensure items comply with the standards of their specific building. Please note: Facility Services does not install new furniture, particularly "assembly-required" items such as desk chairs.

Furniture purchases should be made through approved vendors that include delivery and installation. All new furniture or equipment requests must be reviewed and approved by Campus Operations.

Key Requests:

LTS: Will determine what technology equipment is needed for the move.
