Multi-Factor Authentication (MFA)

When you sign into your network account using multi-factor authentication, you'll need to confirm your sign-in with a method you chose, such as a text message or an authenticator app. This process makes it more difficult for anyone to access your account without your device, enhancing the security of your account, information, and applications.


Setting up MFA

When you first log into myYCP as an employee, you must set up MFA. For students, this setup will occur a few days after you become an active student, which happens once you pay your first deposit.

  • Microsoft Authenticator Mobile app
    • If you select this option, you can also use other authenticators like Google Authenticator or Authy.
    • Some systems may require the Microsoft Authenticator app. Please reach out if you have any questions about this.
  • Phone (Text Messages)
  • Hardware Token
    • This is a physical device that functions like an authenticator app, generating a code for your login.

To update or add another method, go to https://mysignins.microsoft.com/security-info and log in with your YCP credentials. You can also access this through the My Password icon in the Apps Dashboard.

What is MFA?

  • Multi-factor authentication (MFA) is a code or notification used to log into your network account. It helps prevent unauthorized access by requiring a second method or approved device.

Why do we need it?

  • As computers get more powerful and hackers become more common, passwords alone are often insufficient for protecting systems and data. MFA is linked to your device to confirm that it is you accessing your account.

Who needs to use MFA?

  • All YCP and YCDS faculty, staff, retirees, students, and vendors must use MFA.

Can I use MFA internationally?

  • Yes. We suggest using an authenticator app, as you only need a data connection to approve your login. Receiving text messages may require an international plan from your phone provider, which could incur extra costs. Please check with your cell provider for details on international data or text message rates.

How often do I need to approve MFA push notifications or enter a code?

  • You will typically need to approve a notification or enter the code every 30 days when signing into my.ycp.edu while off campus.
  • You will also need to do this when:
    • Signing in on a new device or browser.
    • We perform a system update.
    • Microsoft detects a security issue (like a login from a new location).
    • You are using VPN, RDP, or RDSH.

Do I need to set up MFA on every computer I use?

  • No, you only need to set up MFA once on a device of your choice. This device will be used to approve notifications or enter the code shown to confirm your login to your account.

What should I do if my authentication device is stolen?

  • Contact us immediately. We can revoke MFA access from the stolen device to stop others from using it to access your account.

Does MFA store my personal phone data?

  • No. Your personal data is not stored. MFA is solely an authentication tool and does not store data.
