Body

On campus, we use Cisco IP Phones and the Webex softphone software.

 

Soft keys

Through the instructions below, we'll often refer to a "soft key". Soft key labels are at the bottom of your phone's screen, each with a corresponding button below. They change while you use the phone.

Note: If you don't see a soft key that we mention, press the last one (labeled more, •••, ••, or) to reveal more. You may need to do this multiple times.


Calls

Make a call from a York College phone.

  • To a YCP campus IP phone number

    • Last 4 digits of the phone number (called their "extension")

    • XXXX

  • To a cell or non-YCP number

    • 9 + 1 + area code + number

    • 9-1-(XXX)-XXXX

  • To an international number

  • To a toll free number

    • 9 + 1-800-number

 

  • Don't hang up.

    • Wait for a representative.

      • Explain that the call was a misdial and there is no emergency.

  • Campus safety will call the phone that dialed 911.

    • Explain that the call was a misdial and there is no emergency.

Transfer calls

Send an active call from your phone to another.

 

  • Press the BlindXfer soft key.

    • If you're transferring to another campus phone,

      • Enter the extension.

    • If you're transferring to another extension's voicemail directly

      • Enter Star (*), followed by 55, then the extension

    • If you're transferring to a cell or personal phone,

      • Enter the number as described in the Dialing on campus section above.

  • When you're ready to complete the transfer, press the Transfer soft key.


Forward calls

Set a phone to send all incoming calls to another phone number.

  • Press the Forward soft key.

  • Select Forward All

  • Make sure Forward All is set to On

  • Enter the phone number you'd like to forward to

    • Enter the number as described in the Place calls section above.

  • To turn off, press the CLR fwd soft key.


Conference calls

Start a conference call.

  • From an active call, press the Conf soft key.

    • This will place the other caller on hold.

  • Dial the next phone number and wait for them to answer.

  • Press the Conference soft key again.

  • Repeat as needed.

Add a held call

If you're on an active call, and you have someone else on hold, you can add them to the conference call.

  • From your active call, press the Conference soft key.

  • Press the Active calls soft key, select the held call.

  • Press the Conference soft key again.

View participants

  • During your conference call, press the Participants soft key.

Remove a participant

  • Scroll to a participant.

  • Press the Remove soft key.

We have specially designed conference speaker phones, which we will set up in meeting rooms upon request. Please contact us with the date, time, and location at least 48 hours before your event.


Voicemail (VM)

Listen to your messages.

PIN

If you are a NEW employee your PIN is 101958, until you change it. If you forget your PIN, contact us for a new one. If you try signing in too many times, your voicemail may lock for 45 minutes; contact us to unlock it faster.

Change your Voicemail Password

  • From you phone

    • Follow the Accessing your voicemail section, below.

    • Press 4 (setup options) > 3 (preferences) > 1 (change your PIN).

    • Follow the prompts to change your PIN.

  • Visit user.webex.com

    • Log in with your YCP email address

    • Select Settings on the left

    • Select the Voicemail option

    • Click Reset Voicemail PIN

From your own office's phone:

  • Press the Messages button on your phone.

  • Enter your PIN, then the # key.

From any other campus phone:

  • Dial extension 8800, then the * key.

  • Dial your extension, then the # key.

  • Enter your PIN, then the # key.

From an off campus phone:

  • Call 717-849-8800.

  • Dial your extension, then the # key.

  • Enter your PIN, then the # key.

From a computer:

  • Log into user.webex.com with your YCP email address
  • Click the Settings gear on the left

  • Select the Voicemail tab

  • Click Manage voicemails

  • Follow the Access your voicemail section above

  • To update your voicemail greetings

    • Press to access your voicemail box

      • Press 2 for busy greeting

        • Press 1 to record the new message

        • Press # when finished recording

      • Press for no answer greeting

        • Press 1 to record the new message

        • Press # when finished recording

      • Press 4 for extended away message

        • Press 1 to turn on extended away greeting

        • Press 2 to turn off your extended away greeting

        • Press 3 record an extended away greeting

          • Press # when finished recording

  • To update your recorded name

    • Press for the Greetings menu

      • Press 1 to record your name

Press

  • 1 to reply

  • 2 to forward voicemail to another extension

  • 4 to go to the previous message

  • 6 to go to the next message

  • 7 to delete.

  • # to save as is.

Recordings of all your incoming voicemails can also be sent to your YCP email address. This makes it easier to know when you have a message, and to access it (especially from off campus).

To enable this feature, log into user.webex.com with your YCP email address and click "Settings" on the left.  Select the "Voicemail" section and enable the "Email a copy of the voicemail message."  You will then need to confirm your email address. 

Voicemails can only be sent to one email address and will still be sent to your phone's voicemail box.

 


Prefixes

Your full phone number is the area code (717), then your prefix, then your extension.

Example: If your extension is 1559, then your prefix is 815, and your full phone number is 717-815-1559.

Based on your extension, this list reveals your prefix.

  • Extensions 1200-1599 have the prefix 815

  • Extensions 1600-1699 have the prefix 849

  • Extensions 1700-2099 have the prefix 815

  • Extensions 2200-2299 have the prefix 815

  • Extensions 3000-3299 have the prefix 815

  • Extensions 3300-3999 have the prefix 600

  • Extensions 5900-5999 have the prefix 849

  • Extensions 6000-6399 have the prefix 814

  • Extensions 6400-6899 have the prefix 815

  • Extensions 8000-8099 have the prefix 849

  • Extensions 8200-8499 have the prefix 849

  • Extensions 8800-8899 have the prefix 849
