Google Meet

Google Meet allows real-time meetings by Google. Using your browser, share your video, desktop, and presentations with teammates and customers.

  • Note: Users will not have the ability to record their meetings until the YCP Google Licensing is updated in Summer 2024. 

What are the main differences between Google Meet and Zoom?

 

 

 

 

 


Accessing Google Meet:

  • Google Calendar: Users can create and join Google Meet calls directly from Google Calendar events.
  • Web Browser: Users can access Google Meet via their web browser by navigating to meet.google.com.  You must be logged into your YCP account to access 
  • Mobile App: Google Meet is available for download on Android and iOS devices through their respective app store

  • NOTE: Participants do not have to have a Google account to access Meet through a calendar invite or a shared link.

Creating Meetings:

User can create a Meet through different methods:

  • Directly from Google Calendar events.  Choose Google Meet as the Videoconferencing option.

  • When logged into your YCP Google account, add a Google Meet through the Google Apps list located in 9 dot menu at the top right hand corner of the page. ​​​​​​

  • Options Include:
    • Create a meeting for later
    • Start an instant meeting
    • Schedule in Google Calendar
  • Via their web browser by navigating to meet.google.com and logging into their YCP account with the same options as above  
  • Recurring meetings can be scheduled through a calendar event

 


Joining Meetings:

  • Users can join Google Meet directly from Google Calendar events or by entering the meeting code shared by the host.  The meeting code is the unique code at the end of the meeting link, such as abc-defg-hjk. 
  • Hosts can allow participants to access using only their phone

Meeting Controls:

  • People:
    • Listing of participants in the meeting. Additional participants can be added once a meeting has started.
    • Host can add a participant as a co-host
  • Chat:
  • Activities

Host Controls:

Use these host settings to keep control of your meeting.  Only hosts have access to these controls.

  • Meeting Moderation
    • Host Management-turn on to let you restrict what participants can do in a meeting (ex. share screen, send chat messages, send reactions, turn on microphone and video, manage breakout rooms).  Join a breakout room to customize its setting.
  • Meeting Access Types
    • ​​​​​​​Open
      • No one has to ask to join.  Anyone can dial in.
    • Trusted
      • People can join without asking if they belong to your organization or are invited using their Google Account.  Everyone else must ask to join.  Anyone can dial in by phone.
    • Restricted
      • Anyone who hasn’t been invited must ask to join, including people who dial in.
      • NOTE:  The Restricted type of meeting functions as a waiting room with Hosts admitting participants.  This will not apply if participants are invited through a calendar event.

Security and Privacy:

  • Meeting Codes and Links: Each meeting has a unique code and link to prevent unauthorized access.
  • End-to-End Encryption: Google Meet provides encryption to ensure the security and privacy of meetings.
  • The Restricted meeting type will function as a waiting room and allow the host to admit participants.  This does not apply when participants are invited through a calendar event.

  • Mobile Optimization: Google Meet is optimized for mobile devices
  • Mobile Notifications: Users receive notifications for upcoming meetings and new chat messages.
