Overview
As part of its educational mission, York College of Pennsylvania acquires, develops, and maintains computers, mobile devices, computer systems, and networks. These computing resources are intended for college-related purposes, including direct and indirect support of the college’s instruction, research and service missions; college administrative functions; student and campus life activities; and the free exchange of ideas within the college community and among the college community and the wider local, national, and world communities. In order to maintain a standardized computing environment, mobile devices will only be issued when there is a specific teaching or work related need for the device as determined by the requestor's supervisor. The requestor’s department will be responsible for the entire cost of the mobile device and any other related applications and accessories.
Purpose
This policy is designed to outline the various responsibilities that users have with regard to their use of mobile devices. In addition, this policy defines LTS Department’s role in managing the devices and application purchasing.
Scope
This policy applies to all users of College owned Apple mobile devices including iPhone, iPad, iPod Touch, and future devices capable of running iOS.
Application Purchasing
All purchasers of an Apple mobile device will be required to establish an Apple iTunes account. Mobile device users will use this account to purchase and download applications on their own. However, if college funds need to be used to purchase applications for work purposes, a request to the LTS department must be made to purchase the application through the volume license application store. Using this service allows York College to receive discounted pricing and tax exemption for all application purchases. College issued purchasing cards are not to be used for purchasing applications using college funds.
After the request has been processed, the LTS Department will purchase the application and the requester will be sent a link to download the application directly to their device. The LTS department will be responsible for charging departmental account numbers for application purchases.
Application updates are made available in the App Store and can be installed by the user of the device without the assistance of the I.T Department.
All iTunes accounts created by device users will be the sole responsibility of the creator and York College will not be responsible for maintaining and protecting these accounts. Mobile Device Management
All Apple mobile devices purchased through the LTS department must be enrolled in the LTS mobile device management solution which incorporates inventory, security, and remote application installation. This service also tracks installed applications, device usage statistics, and connection diagnostics. In addition, this service will allow for secure remote deletion of data in the instance of device loss or theft. The LTS department reserves the right to remotely delete applications deemed to be security threats.
At any time, a department chair or senior administrator may request a list of installed applications on any device purchased by their department.
Device Rotation and Warranty
All Apple mobile devices will be supported by the LTS Department for a maximum of four years from the date of purchase. After four years, the original purchaser will need to relinquish the device and purchase a new one. If the original purchaser chooses not to replace the device within four years, the device will still need to be relinquished back to the LTS Department.
All mobile devices purchased through the LTS Department will include a one year warranty. This warranty does not cover accidental damage. Any repair costs not covered by the warranty will be the responsibility of the original purchaser.
Sharing of Devices
At this time, all Apple mobile devices are considered a single user device and should not be shared with other users due to privacy concerns. The operating system on these devices has the option to store personal data including passwords, e-mail, and contact information. Sharing the device would allow for others to possibly access this personal data. For security reasons, a 4 digit password will be required to use the device at all times. The password must not be shared with anyone.
3G/4GData Service (iPad Only)
If a 3G iPad is purchased, all charges for data will be handled by the purchaser and their department. The LTS Department will not be managing any of the data expenses. 3G/4G iPad data plan pricing and information is available at: www.apple.com/ipad/3g/
Backup of Data
The original purchaser will be responsible for using iTunes to backup all Apple mobile devices. The Library Technology Services department will not be responsible for lost data on mobile devices.
Cellular Voice and Data Service
All iPhone users will also be required to sign a cell phone usage policy.
Purchase Process
To request a price quote for an Apple mobile device, submit a signed Apple mobile device request form to the LTS Help desk.
